What is StaffPass?
StaffPass is a workforce and operations management platform. It brings together attendance, profiles with digital QR credentials, shifts, visitors and incidents. StaffPass Mobile, the app for employees and administrators, and StaffPass TimeClock, the site's shared clock, are now available on Google Play; the payroll extension for Panama is still in preparation.
How does a team member clock in?
From TimeClock, the company's shared clock, using a PIN, QR code or optional face identification. StaffPass Mobile supports phone clocking where the company enables it, with location and/or Wi-Fi checks based on the location's policy.
Is face identification mandatory?
No. It is optional and is only enabled for team members with a current signed agreement and a current company attestation. StaffPass hands the terms to the company, the company informs the team member and keeps the signed agreement, and StaffPass records the attestation and an opaque reference. Its use requires connectivity so the backend can revalidate eligibility; without it, PIN and QR keep working.
What is the digital QR credential?
Every registered person has a profile with a digital credential that can be checked through a QR code. The public profile shows a minimal projection of the team member's data.
How are visits and incidents recorded?
Through their own modules inside the panel. Visits are kept in a log with reason, host and entry time. Incidents are recorded with type, post, severity and handling status.
Which reports can I export?
The panel shows operational indicators and lets you generate reports and exports in PDF and Excel to follow up on activity.
What can employees do in StaffPass Mobile?
View their profile, employment status, shifts and attendance history; clock in at an enabled location; request leave and check their balance; and access their own approved payslips and PDFs. The company links each personal account through an invitation. Administrative access depends on separate permissions.
Can I download the apps and use the new payroll features now?
StaffPass Mobile and StaffPass TimeClock can now be downloaded from Google Play for Android. Mobile is the app for employees and administrators; TimeClock is the shared clock for the site's tablet. The iOS version and the new payroll features are still awaiting launch. The previews on this page are illustrative and use fictional data.
Will the app track employees throughout the day?
No. Location is checked when clocking, with no continuous background tracking. The company configures each location to require location data, authorized Wi-Fi, both or either. Mobile clocking requires phone permissions and compliance with the location's policy.
What do the new payroll features include?
Pay periods, authorized earnings and deductions, contributions and withholdings, review and approval, private PDF payslips, and records of partial or full external payments. HR supplies and reviews the rates, calculation bases and pay items; approved payslips preserve the information used.
Will StaffPass transfer salaries to employees' bank accounts?
No. Payments are made outside StaffPass. The system records the amount, date, method and reference, and shows the outstanding balance. Approving a payslip does not mean a payment has been made.
Are leave, thirteenth-month pay and termination settlements calculated automatically?
The upcoming extension covers leave balances, requests and accrual, plus thirteenth-month pay, provisions and settlement calculations subject to calculation bases and rules reviewed by HR. Legal calculations require configuration and review. SIPE and Planilla 03 have preparatory views, not filing-ready official files.
Where do I sign in to the admin panel?
The StaffPass admin panel is at dash.staffpass.app. The commercial site is staffpass.app.
